Intake Coordinator
Location: 11738 Kingsway NW, Edmonton, AB
Closing Date: January 30, 2026, or until suitable candidate found
Position Status: Full Time (40 hrs per week), Temporary Maternity Leave Coverage (estimated end date of March 2027 with possibility of extension)
The Otipemisiwak Métis Government is recruiting for an Intake Coordinator. Reporting to the Registry Intake Supervisor, the Intake Coordinator is a key position in representing the Registry Department and the MNA in a professional, knowledgeable, and courteous manner. This position handles all incomplete citizenship applications from individuals and district offices, as well as any telephone inquiries made regarding the application process for citizenship. The Intake Coordinator will stay current and up to date on any upcoming MNA functions and events and inform applicants when and where possible. Throughout any registry inquiries, the Intake Coordinator will look to uncover other application opportunities. Travel throughout the province for registry sessions multiple times a month as part of the Registry team is a requirement.
Key Responsibilities:
Conduct an initial assessment to validate application requirements for applications from individuals and district offices.
Data capture to complete applications.
Follow up with applicants with incomplete applications.
Participate in staff meetings and special projects within the department.
Other duties as required or assigned.
Skills & Competencies:
Experience in working with the public.
Proficiency in database applications and administration systems.
Ability to produce accurate, precise, error free data entry.
Proficient in Microsoft Office programs (including Word, Excel, and PowerPoint) and database applications. Meticulous records maintenance skills and excellent attention to detail.
Strong sense of ethics, with the ability to maintain a high level of confidentiality in all interactions.
Superior written and verbal communication skills, including professional email etiquette.
Excellent interpersonal skills, with the ability to build strong relationships.
Ability to work independently as well as part of a team.
Exceptional organization and time management skills.
Sound planning, prioritization, and execution skills, with an ability to take initiative.
Ability to handle change and make quick, clear decisions.
Strong conflict resolution skills.
Clear understanding of the Métis Nation of Alberta and knowledge of Métis history, culture, and people.
Qualifications:
High School Diploma or equivalent.
Minimum 2 years data entry experience.
Minimum 2 years of customer service experience.
Ability to obtain Commissioner for Oaths designation.
Other Requirements:
Position will be based in Edmonton; in-office presence will be required.
Ability to work office hours of Monday – Friday, 8:30 am – 4:30 pm.
Travel throughout Alberta is required for events and to facilitate Registry sessions. Travel will be up to 25% of this role.
Must hold a Valid Class 5 Driver’s License and have reliable transportation.
