Job Description
THE OPPORTUNITY
Reporting to the Lead, Program Integration & Coordination, the Team Coordinator will provide essential administrative and logistical capacity to the Canada Programs team, supporting the delivery of major external events and team gatherings. The coordinator will have a key role in managing event contracts and coordinating logistics of events, including transportation and venue bookings, catering, and partner travel support (e.g. Indigenous Elders, youth, special guests). The Team Coordinator will also support internal team planning, functional on boarding for new staff, and provide backup support to other executive administrators as required.
WAYS YOU CAN CONTRIBUTE
• Provide administrative and coordination support for major external events, including Network Gatherings and National Indigenous youth leadership gatherings, including meeting scheduling, event contracts, room management, catering, virtual event logistics, etc.
• Provide administrative and coordination support for major team events, such as CEO visits, Canada board meetings, and partner engagements.
• Support event communications, including event invitations, reminders, and follow-up communications to event attendees.
• Liaise with service providers and contractors as required.
• Manage day-to-day event budget planning and reporting
• Support organization, planning and budget for internal team gatherings, including meeting bookings, agenda distribution, minute taking, and document storage.
• Maintain organization of databases, shared network drives and SharePoint sites.
• Support team preparation and participation in Foundation internal events, including All-ins, Sharing Thursdays, Learning Sessions Foundation Academy classes and other sub-function sessions.
• Support travel support as required, including bookings, safety arrangements, and cost control.
• Support contracts and invoicing for Canada Programs Communications team, Impact team, as well as EleV and the Indigenous Youth Leadership Program teams.
• Support integration across team functional areas, including planning and execution of partner convenings and peer learning engagements.
WHO YOU ARE
• A college diploma or a university degree is required, alongside 4+ years of relevant working experience.
• Experience working with Indigenous communities, Indigenous organizations, or Indigenous youth is an asset.
• Experience in event planning and management and/or project coordination and management skills.
• Excellent communication, interpersonal, and relationship-building skills.
• Ability to work collaboratively with cross-functional teams.
• Proficiency in Microsoft tools, including Excel, PowerPoint, Word, Outlook, and SharePoint.
• Knowledge of project management principles and practices.
• Strong in multi-tasking and working under pressure.
• Passionate about Indigenous youth education, employment, and wellbeing.
• Commitment to diversity, equity, and inclusion; as well as desire to integrate Indigenous ways of being and doing into practice.
• Strong analytical and problem-solving skills, with the ability to make sound decisions under
pressure.
• Ability to work both independently and as part of a team.
