Job Description

DOP Immigration and Consulting is seeking a highly organized, detail-oriented Administrative Assistant to join our team remotely. The successful candidate will play a pivotal role in supporting the operations of our fast-paced immigration consultancy.

Responsibilities:

• Provide administrative support to the team, including scheduling meetings, managing correspondence, and maintaining records of the meetings.
• Prepare, review, and organize documents related to immigration services (e.g., applications, contracts, and reports).
• Determine and establish office procedures
• Prepare, edit and proofread correspondence, invoices, presentations, brochures, publications, reports
• Assist with client communications, responding to inquiries via email, phone, and WhatsApp in a professional and timely manner.
• Maintain and update client files.
• Handle billing and invoicing processes.
• Coordinate with internal and external stakeholders to ensure smooth workflow and efficient service delivery.

Qualifications:

• Post-secondary education in a related field such as Business Administration or Public Administration is required, with relevant experience in management, leadership, or a specialized area considered an asset.
• 2+ years of experience in an administrative or similar role in a professional services environment.
• Proficient in Microsoft Office Suite (Word, Excel, Outlook) and other digital tools such as CRM systems.
• Strong organizational skills with excellent attention to detail.
• Exceptional written and verbal communication skills in English.
• Ability to multitask and prioritize work in a deadline-driven environment.
• Familiarity with immigration processes and documentation is an advantage.
• A positive attitude, problem-solving skills, and a commitment to confidentiality.
