The Office Administrative Assistant will play a crucial role in supporting the management and overall office operations.
Job Duties
• Responsible for opening and closing the business and maintaining a friendly environment for the staff and clients.
• Be the first point of contact for clients. You will be responsible for answering client’s questions about business operations. Greet visitors, ascertain the nature of business and direct client and visitors to the employer or appropriate person.
• Prepare, key in, edit, and proofread correspondence, invoices, presentations, brochures, publications, reports, and related material from machine dictation and handwritten copy.
• Open and distribute incoming regular and electronic mail and other material and coordinate the flow of information internally and with other departments and organizations.
• Schedule and confirm appointments and meetings of the employer.
• Order office supplies and maintain inventory.
• Answer telephone and electronic inquiries and relay telephone calls and messages.
• Set up and maintain manual and computerized information filing systems.
• Determine and establish office procedures.
• Record and prepare minutes of meetings/conference/seminars.
• Arrange travel schedules and make reservations.
• Compile data, statistics, and other information to support research activities.
• Assist the employer in organizing and delivering marketing conferences/seminars.
• Assist the employer with other administrative duties as assigned.
Qualifications and Experience
• Between one year to less than 2-year experience as an office administrative assistance is required.
• The employer prefers experience in nutrition, beauty, personal care, and home care but will also consider experience in comparable and similar industry setting.
• Completion of a one- or two-year college or other program for administrative assistants or secretaries, or other comparable programs is required. Employer will consider equivalent work experience.
• Experience using computers and Microsoft office.
Language of Work
It is a requirement of this position for a successful candidate to read, speak, listen and write in English.
Work Environment
The Office Administrative Assistant will be working in a dynamic environment that requires a high level of organization, attention to detail, independence, multitasking, and excellent communication skills. A successful candidate should be able to work under pressure and with minimal supervision. The role will involve interaction with various customers, internal partners, and various departments and external partners to support the company’s operations.
Pay and Benefits
This position is for full-time (35 hours/weekly) 24 months contract. The wages will be $26/hr, parking is available on site.
Hours of Work
Work can be scheduled between Monday to Sunday and during the mornings, afternoons and evenings. A requirement for a successful candidate for this position is to work based on demands of the business and work in evenings and weekends.
