Job Description
Position: Office Administrative Assistant
Responsibilities:
Prepare, key in, edit and proofread correspondence, invoices, flyer and brochures, publications and reports
Open and distribute incoming regular and electronic mail and co-ordinate the flow of information internally for employees, managers and employer
Schedule and confirm appointments and meetings of employer
Order office supplies and maintain inventory
Answer telephone and electronic inquiries and relay telephone calls and messages
Set up and maintain manual and computerized information filing systems
Supervise and establish administrative procedures
Greet visitors, ascertain nature of business and direct visitors to employer or managers
Record and prepare minutes of meetings
Compile data, statistics and other information to support marketing research activities
Train new office staff in office procedures and in use of current software
Office support for marketing promotion (e.g. on-site show table, promotion events, key opinion leader wechat moments, little red book updates, brochure and other media publications.)
Coordinate business relations with clients
Collect customer feedback
Education requirement:
Bachelor’s Degree
Requirements:
Minimum of 1 year experience in an administrative position in a dental clinic;
In depth understanding of routine administrative duties to support a team in a dental clinic;
General knowledge of dental care services including teeth cleaning, whitening, braces, Invisalign, wisdom teeth extraction and dental implants.
Ability to prioritize and manage multiple responsibilities;
Proven capability to perform duties in a fast paced working environment;
Must be outgoing, friendly, patient and professional
Possess excellent verbal and written communication skills
Work well with a team, individually and under pressure
Demonstrate punctuality, maturity and reliability
Extremely detail oriented with a strong client service focus
Confident business negotiator and strong interpersonal skills with the ability to solve problems with clients and internal staffs;
Ability to make sound decisions and commitment to integrity and accountability;
In depth understanding of digital marketing applications are an asset
High proficiency in Abledent; Microsoft Office including Word, Excel, PowerPoint, Adobe Acrobat, Outlook; Wechat and Little Red Book Applications;
Flexible to work at weekends;
Salary: $27.00 per hour
Working Hours: 35 hours per week
