The Role:

As the Executive Assistant, you will provide a full range of administrative and confidential support to CLBC’s Vice President of Service Quality & Innovation (VP) and will report directly to this Vice President. This role requires you to be adaptable, organized and flexible, as well as service and results-oriented; have excellent computer skills; excel at building effective relationships, be cooperative, and be an excellent team player.

Responsibilities include:

Managing and executing the calendar of the VP including prioritizing meetings, rescheduling meetings in real time, making travel arrangements
Responding quickly to emerging issues and changing priorities, using sound judgment in assessing the urgency and importance of various issues requiring the attention of VP
Coordinating the preparation and execution of confidential correspondence, letters, briefing notes, and presentations and ensures timely responses in a large volume of highly sensitive inquiries and issues, maintains confidential filing and tracking systems, screens mail, visitors and telephone calls for the VP
Preparing comprehensive reading packages to assist the VP to prepare for all meetings they participate in, including gathering information and materials from meeting source contacts
Establishing and maintain respectful and productive working relationships with CLBC staff of all levels, and staff of senior and executive officials within government and within the community that CLBC supports and works with
Ensuring Freedom of Information and Privacy Legislation compliance in processing requests for information and retrieving documents and/or data
Exercising receiving authority for the VP’s office administration budgets, personnel expenditures, expense reimbursement, and time and leave for the VP and occasional support to the larger team

Qualifications:

Grade twelve diploma or equivalent education, and the completion of a business college or office administration course. A relevant combination of education and experience may be considered
3-5 years of experience working in an executive office environment supporting senior executives on a daily basis
Knowledge and ability to expertly utilize the Microsoft suite of software as well as VISIO, SharePoint, and Adobe Acrobat
Ability to type a minimum of 50 wpm

Hybrid: Possibility of up to two days per week working remotely within BC after probationary period and based on operational needs
