Job Description
Excel Personnel has been retained by one of our National Clients in a First Nations organization in the Kamloops, BC community to recruit their next Administrative Assistant.
As part of dynamic growing team, the Administrative Assistant will provide a wide range of administrative services to the organization. This role requires a very strong multitasker who can determine which needs are of the highest priority and is able to manage their time accordingly. Often the first point of contact at the Head Office for external clients or the public, the Administrative Assistant needs to be always an effective communicator and exhibit professionalism and diplomacy.
KEY RESPONSIBILITIES:
-Receptionist duties including receiving telephone, mail and email messages, and couriers
-Providing administrative support to the Corporate Services business line and other employees as needed
-Organizing and maintaining meeting schedules and calendars,
-Managing routine correspondence and communication, maintaining records and filing documents in Information Management Systems
-Organizing, coordinating, managing, maintaining and communicating travel arrangements for staff, contractors, invitees and others
-Managing purchases of office supplies.
-Liaising with building management/superintendent to resolve any issues around the office (eg. heating, cooling, lighting)
-Receiving visitors at the front desk, welcomes and directs guests
-Coordinating and arranging for facility rentals, meeting rooms, transportation services, equipment rental, hotel accommodations and meals for meetings and events
-Attending meetings, conferences, workshops and taking meeting minutes as necessary
-Coordinating repair and maintenance of office equipment, such as the Pitney Bowes digital stamp machine, Autopen, telephones, and printer/fax machines
-Performing routine errands to support all of the above
-Performing other duties and activities as assigned
REQUIREMENTS:
-Completion of a post – secondary program in business or office administration or equivalent
-A minimum of 2 to 4 years of administrative experience
-Proficiency in Microsoft Office Suite, including Word, Outlook, Excel, SharePoint, and PowerPoint English essential.
-French is an asset.
-Occasional travel within Canada may be required

-Ability to work independently, in a fast-paced environment.

-Willingness to participate in ongoing education and training for the role including Indigenous Cultural studies
