Job Duties:
1. Coordinate, assign and review the work of administrative staff responsible for client file preparation, immigration document organization, appointment scheduling, telephone inquiries, data entry, and record management for immigration applications and consulting services.
2. Establish office procedures and staff schedules, and coordinate daily administrative activities with immigration consultants, case processing staff, translators.
3. Resolve client scheduling issues, document processing delays, and administrative problems, and prepare operational updates and case progress reports for management review.
4. Train new administrative staff on office procedures, client confidentiality requirements, document handling standards, and company service policies.
5. Requisition office supplies, printing materials, filing equipment, and other administrative materials required for daily office operations.
6. Ensure the smooth operation of printers, scanners, computers, telephone systems, and other office equipment, and arrange maintenance services when required.
7. Assist with client reception, document verification, application file updates, and other administrative duties during busy operational periods.
8. Monitor application tracking records and follow up on missing documents to ensure timely submission of immigration and consulting files.
9. Maintain confidential client records and organize physical and electronic filing systems in accordance with company procedures and privacy requirements.

Requirements:
• Completion of a bachelor’s degree.
• Minimum 2–3 years of administrative or supervisory experience, preferably in an immigration consultancy, legal office, or professional service environment.
• Experience coordinating office operations, supervising and training administrative staff, assigning duties, monitoring work performance, and ensuring office procedures are followed efficiently.
• Excellent written and verbal communication skills in English and Mandarin Chinese, including the ability to communicate professionally with Chinese-speaking clients and prepare written documentation in both languages.
• Strong leadership, organizational, and time management skills with the ability to prioritize tasks, manage workflows, and maintain productivity in a fast-paced office environment.
• Proficiency in Microsoft Office applications; familiarity with immigration case management systems is an asset.
• High attention to detail, strong problem-solving abilities, and the ability to handle confidential information professionally.
• Familiarity with Canadian immigration procedures, documentation requirements, and client service processes is strongly preferred.
• Preference will be given to candidates with previous supervisory or team coordination experience in the immigration industry, particularly those able to support and oversee Mandarin-speaking administrative staff and clients.
• Ability to work independently while maintaining professionalism, accountability, and office efficiency.
• Flexibility to work occasional evenings or weekends based on operational needs.
