Job Description
Revelstoke Veterinary Clinic is seeking a dedicated and compassionate Veterinary Receptionist with proven experience to join our team. The role demands strong administrative and customer service skills and a thorough understanding of veterinary clinic operations and animal care.
The receptionist’s role is vitally important and carries a great deal of responsibility. You are the first point of contact with clients and their pets and the face of the clinic. You set the tone for each visit, and for the ongoing relationship. Your knowledge and judgement are key to identifying urgent and emergency cases both over the phone and in-person and coordinating with the veterinarians and technicians to ensure proper management.

Responsibilities:
• Provide exceptional client and patient care with professionalism, warmth, and compassion.
• Handle client inquiries and correspondence efficiently and effectively via phone, email, and text.
• Schedule appointments and manage calendars to ensure optimal daily loading and prompt client service.
• Triage medical emergencies over the phone and in person in coordination with veterinarians and other team members.
• Handle invoicing and payment processing and daily sales summary preparation.
• Maintain clear and accurate records, including medical histories, vaccination records, and billing information.
• Accurately communicate estimates, veterinarian-provided information and directions, and point-of-sale product information to clients.
• Manage pet insurance claims and third-party financing.
• Process prescription refill requests and dispense pharmaceuticals.
• Correspond with other clinics for records transfers and referrals.
• Assist in inventory management, including stock tracking, ordering, and inventory control of retail food and other products.
• Maintain strict client and patient confidentiality.
• Handle cash and pharmaceuticals with accuracy and accountability.

Education level: No education requirement
Required skills: • At least two years’ experience as a veterinary receptionist • Exceptional written and verbal communication skills • A strong foundation in veterinary terminology and essential veterinary care topics including nutrition/feeding, preventative care, vaccination protocols, parasite management, and elective surgeries. • Proficiency in veterinary practice management software (PMS) is required. • Ability to manage complicated and dynamic situations including emergencies and high stress client contacts • Strong attention to detail • Proven reliability and punctuality • Strong teamwork approach, including communication, cooperation, and adaptability. • Strong judgment and decisiveness. • Ability to lift up to 25kg
