Job Description
We are seeking a Marine Administrative Officer to coordinate and support our barge and ship surveying operations. This role focuses on the preparation of specialized reports related to barge draught, condition, damage, and on/off-hire surveys. The ideal candidate will play a key role in maintaining administrative efficiency, ensuring accurate technical reporting, and supporting client communications. Extensive knowledge of barge structures and surveying documentation is essential.
Duties & Responsibilities:
– Implement new administrative procedures and Review and evaluate new administrative procedures
– Delegate work to office support staff
– Establish work priorities and ensure procedures are followed and deadlines are met
– Administer policies and procedures related to the release of records in processing requests under government access to information and privacy legislation
– Co-ordinate and plan for office services such as accommodation, relocation, equipment, supplies, forms, disposal of assets, parking, maintenance and security services
– Assemble data and prepare periodic and special reports, manuals and correspondence
– Perform data entry
– Train staff
– Oversee and co-ordinate office administrative procedures
– Resolve conflict situations
– Communicate with other workers to co-ordinate the preparation and completion of work assignments
– Compile data and prepare detailed marine reports, manuals, and client correspondence.
– Prepare specialized barge reports assessing condition, damages, and structural observations based on information provided by marine surveyors.
– Support in accurately calculating cargo tonnages using draught surveys, hydrostatic tables, and ballast data, in coordination with technical staff.
– Maintain organized records of vessel data, freeboards, client details, survey logs, compliance documentation, service schedules, and safety records.
– Review and assist in drafting and amending maritime client contracts.
– Assist in project planning, budgeting, and contract tracking related to barge operations.
– Manage communications between clients and third-party marine service providers.
– Support validation of tonnage reports by compiling and reviewing draught and trim data in accordance with established maritime survey standards.
– Apply knowledge of marine regulatory frameworks when drafting technical reports and survey summaries.
Job Requirements:
– Minimum 2 years experience in an administrative role within the marine or maritime industry.
– Bachelor’s degree in Business Administration, Information Technology, Operations Management, or a related field.
– Working knowledge of barge structures and marine survey documentation.
– Demonstrated experience managing communications with clients and third-party marine vendors.
– Proficient in Microsoft Office Suite and other administrative or project management software.
– Strong interpersonal skills and ability to work both independently and within a team.
– Excellent organizational skills, attention to detail, and written/verbal communication abilities.
